PRIVACY POLICY.
1. SCOPE
This Privacy Policy explains how WINN Method collects, uses, stores, and shares personal information in connection with its website, registration process, athletic training services, communications, billing, and media activities. It applies to athletes, parents and guardians, paying members, prospective clients, website visitors, and other people who interact with WINN Method.
2. INFORMATION WE COLLECT
We may collect athlete identity and profile information; parent or guardian contact information; membership and scheduling selections; attendance and program records; billing and transaction information; injury, allergy, medical restriction, and emergency contact information; signatures and agreement records; communications; website and device information; and photographs, video, audio, performance metrics, testimonials, and related media when authorized.
Please provide only medical information reasonably necessary for safe participation. WINN Method is not a healthcare provider and should not be used to submit detailed medical records or sensitive health information unrelated to training safety.
3. HOW WE USE INFORMATION
We use personal information to provide and administer training services, manage registration and scheduling, communicate with athletes and families, process payments, maintain signed agreements and attendance records, support safety and emergency response, operate and improve the website, prevent fraud or misuse, comply with law, protect legal rights, and use authorized media for promotional, educational, and business purposes.
4. HOW WE SHARE INFORMATION
We may share information with service providers that support website hosting, registration, communications, payment processing, data storage, analytics, or related operations; facilities or training partners when reasonably necessary; legal or governmental authorities when required; and professional advisors such as attorneys, accountants, or insurers. We may also disclose information in connection with a business transfer or with your direction or consent.
WINN Method does not sell personal information for money. We do not knowingly share personal information for cross-context behavioral advertising.
5. PAYMENTS
Payments are processed through Stripe. WINN Method does not receive full payment-card numbers. Stripe processes payment information under its own privacy policy and terms.
6. MINORS
WINN Method provides athletic training services that may involve minors. A parent or legal guardian must complete or approve registration and contracting decisions for a minor athlete. We may collect information about minor athletes that is reasonably necessary to provide services, support safety, manage participation, and use media where the required consent has been provided.
7. MEDIA
Media is collected and used according to the WINN Method Media Release and Consent accepted during registration. Any written revocation applies only to future use after a reasonable processing period and does not require recall of materials already published, distributed, printed, posted, licensed, or incorporated into completed projects before revocation took effect.
8. REGISTRATION & LEGAL-RECORD RETENTION
Completed registrations, membership records, payment-status history, signed waivers, signed membership agreements, and other legal enrollment records are retained for four years after membership ends.
For a participant who was under 18 during participation, signed agreements and liability-related records are retained until at least the participant's 22nd birthday or four years after membership ends, whichever is later. This longer period is intentional because California generally provides a four-year limitations period for written-contract claims, and minority can pause certain limitations periods.
Locked signed copies accurately reflect the agreement finalized at signing and remain accessible for later reference. A later agreement does not overwrite an earlier signed version.
9. MEDICAL & EMERGENCY-INFORMATION RETENTION
Current medical, injury, allergy, medication, and emergency-contact information is maintained while an athlete is actively enrolled.
- After an adult athlete's membership ends, medical and emergency information is retained for two years, then deleted unless connected to a documented injury, incident, dispute, or legal matter.
- For athletes who participated as minors, relevant medical, emergency, and incident information is retained until at least the athlete's 20th birthday or two years after participation ends, whichever is later.
- Information connected to an injury, accident, insurance matter, claim, or legal dispute may remain with the legal record for the longer applicable period.
Information is not retained indefinitely merely because it was collected. Retention is limited to what is reasonably necessary and proportionate to the purpose.
10. CORRECTION & DELETION REQUESTS
Parents, guardians, and adult athletes may request access, correction, or deletion by emailing winnmethod@gmail.com. WINN Method verifies the requester's identity before changing or releasing private records.
Inaccurate information may be corrected. Deletion requests are honored when information is no longer reasonably necessary. WINN Method may retain information needed for signed agreements, legal or accounting records, payment history, safety or incident documentation, disputes, fraud prevention, or establishment or defense of legal rights. When only part of a record can be deleted, unnecessary information is deleted while the required historical or legal portion remains archived.
11. ACCESS & DISCLOSURE
Private athlete information may be accessed only by authenticated WINN Method administrators authorized through the private dashboard: winnmethod@gmail.com, jacobwinn23.tf@gmail.com, and jaww0501@yahoo.com. Public website users have no access to private athlete records.
Information may also be disclosed when reasonably necessary to payment or form-technology providers, emergency personnel, professional advisers, or as otherwise required by law.
12. EXPIRED & CANCELED REGISTRATIONS
Canceled, expired, or inactive accounts are archived rather than immediately deleted. Archived accounts are removed from the active-athlete view but remain privately available to authorized administrators until the applicable retention period expires.
After that date, and when no legal, payment, safety, insurance, or dispute-related reason remains, personal information is securely deleted or de-identified.
13. SECURITY & CALIFORNIA PRIVACY
We use reasonable administrative, technical, and organizational safeguards, but no storage or transmission method can be guaranteed completely secure. California residents may have rights under applicable law, subject to statutory exceptions and thresholds, including rights to know, access, correct, or delete certain personal information and to receive equal service for exercising applicable rights.
